Turn a plain brief into a board-ready document

ChangeKeel takes what you already know about a change — the what, why and numbers — and assembles a complete Management of Change document you can edit, pressure-test, share and export. This guide walks through every part of the app: what each thing does, what it means, and how to get the best out of it.

01What is a Management of Change document?

A Management of Change (MoC) document is the paper you put in front of decision-makers when you want to change something that matters — a process, a system, a vendor, a price, a team. It states the change, the case for it, what could go wrong, and how you'll control it, so the change can be approved with confidence rather than waved through or stalled.

A strong MoC answers, on one page or one deck: what is changing, why now, the numbers (baseline, expected uplift, investment), the risks and how they're mitigated, the plan and owners, and a clear ask. ChangeKeel builds all of that from your brief, keeps the numbers consistent, and scores how board-ready it is.

You don't need to be a change-management expert. Describe the change in plain language and the app structures it for you — you refine from there.

02The 3-pane layout

Once a document exists, the workspace has three columns:

  • Left — Set up: how you start a document, your saved projects, and the tabs Docs · Outline · Review · Settings · Team. Drag its right edge to make it wider or narrower.
  • Middle — Edit: your document as a stack of cards. Every field is editable — click and type.
  • Right — Preview: the live, read-only view of exactly what the exec sees. It updates as you edit and can pop out to a second screen.
Internal tipThe left panel width is remembered per browser — set it once to a comfortable typing width.

03Signing in

ChangeKeel is private — you sign in with a username and password, and (if enabled) a one-time code. Sessions expire automatically for safety; if you're bounced to the sign-in screen, just log back in.

  • Forgot where to start? After signing in you land on the Create screen.
  • 1-hour sign-in link: from the account menu you can copy a short-lived link that signs you straight in — handy on another device. It expires within the hour.
Never share your password. To let someone else in, use a share or reviewer link (below) instead.

04Starting a document

Three ways to begin, all from the Create screen:

  • Build a brief with AI: answer a few plain questions and the app assembles a complete brief, then the document. Best if you're not sure what to write.
  • Start from a template: pick the closest scenario — Board report, Client proposal, Recovery pack, System / tech rollout, Vendor change, Team restructure, Pricing, or Blank. It pre-fills a guided brief you edit.
  • Paste your own brief: already have notes? Drop them in the brief box and build.

Three settings shape the build:

  • Input mode — how much the AI drafts vs. how much you write (e.g. Hybrid — draft then edit).
  • Numbers policy — whether the AI may draft figures and flag its assumptions, or stick only to numbers you give it.
  • ThoroughnessDraft (fastest, ~1 min) up to deeper multi-pass builds that stress-test more. Deeper = slower but more complete.

05Writing a strong brief

The brief is the raw material. The more specific you are, the better the document. Aim to cover: what's changing, why now, the baseline (today's rate/number), the target/uplift, the budget or investment, the owner, timeframe, and any key risks.

  • Dictate any field: a small mic appears on whatever text box you click into — tap it and talk; it types as you speak. Works on every field in the app.
  • AI assist on any field: next to that mic is a button — Improve, Shorten, Expand, Fix grammar, or type your own instruction. It rewrites just that field in board-ready English and keeps your figures. One click undoes it.
Internal tipBrackets like [baseline] or [$] in a template brief are prompts — replace them with your real numbers before building.

06Building & the readiness score

Click Build and the engine drafts every section, derives the numbers so they stay consistent, and (on deeper settings) runs extra passes to tighten and stress-test. About a minute later the document appears in the middle pane.

The readiness score (0–100) tells you how board-ready the document is — higher means fewer gaps, clearer numbers and a stronger case. Use it as a checklist, not a grade: open the flagged items and resolve them to lift it.

07The editor

The middle pane is your document as editable cards — one per section (cover, outcomes, risks, governance, plan, investment, and so on). Everything is editable in place:

  • Click any field to change the text or a number — the preview updates live.
  • Regenerate a section with AI: use the section's redo control to re-draft just that block (optionally with an instruction).
  • Reorder or remove sections/slides, and add ones back from the list.
  • Outline tab — a bird's-eye view to jump around and reorder the document quickly.

08The live preview

The right pane is the exec view — a clean, read-only render of the finished document that refreshes as you edit. It's what your audience will see.

  • Pop out — open the preview in its own window and drag it to a second screen; it stays in sync while you edit on the first.
  • Close pop-out brings it back inline.

09The Copilot

The Ask Copilot button (bottom-right, or press K) opens an assistant that doesn't just answer — it can do things:

  • Edit by asking — “tighten the risks”, “make the ask stronger”, “add a rollback trigger”. It shows what changed and pulses the section.
  • Run tools — benchmark your numbers against live research, generate a board Q&A, draft a one-pager, or turn risks into action items.
  • Drive the app — export, save, or jump to a section on request.

Safety tiers keep it trustworthy: small, reversible edits apply immediately (with undo); meaningful changes ask you to confirm; deleting a section needs a typed confirmation; deleting the whole document is refused.

God Mode (the ✦ toggle in the Copilot header) makes it more agentic — it chains steps to finish a whole task and proactively fixes weak spots — while keeping every one of those safety confirmations.

Internal tipGod Mode is ideal for “clean this whole document up and ground the numbers” in one go.

10Voice & premium audio

ChangeKeel can talk and listen. Open the voice menu in the top bar (next to the light/dark toggle):

  • Speak replies — the Copilot reads its answers aloud.
  • Hands-free — have a spoken back-and-forth conversation.
  • Wake word — say “Hey ChangeKeel” to trigger it without touching the keyboard. Turn always-listening on/off right here.
  • Premium voice — natural Australian voices (Jess, Annalise, Scotty, Aussie Mike). Pick one and press Test to hear it. Switch it off to use the free browser voice.
Voice needs a microphone and a Chromium-based browser (Chrome/Edge). It's off until you turn it on.

11Quality & review tools

Beyond drafting, ChangeKeel helps you make the case bullet-proof:

  • Readiness score — the 0–100 board-readiness gauge.
  • Flagged assumptions — anywhere the AI assumed a number or fact, it flags it so you can confirm or correct. The badge in the top bar counts open flags; the Review tab lists them.
  • Risk heatmap — risks plotted by likelihood × impact so the big ones stand out.
  • Board Q&A — anticipates the tough questions a board will ask, with answers.
  • One-pager — a crisp executive summary generated from the document.
  • Scenario compare — Good / Better / Best outcomes with a sensitivity check on the numbers.

12Action items & approvals

Turn a document into action:

  • Action items — capture tasks with owners and due dates (the Copilot can create them straight from your risks). See yours under Action items.
  • Approval sign-off — record approvals with an audit trail, so there's a clear record of who signed off and when.
  • Notifications & @mentions — mention a teammate to assign or notify them; the bell shows what needs your attention.
  • Version history — every save is kept; restore an earlier version if needed.

13Sharing & collaboration

From the Share menu (a document must be saved first):

  • Read-only view — a clean link anyone you send it to can view.
  • Invite a reviewer — a link that lets someone commentwithout editing.
  • Public / share links — copy a read-only link, or use your device's share sheet. Links are revocable from Manage access.
  • Live co-editing — open Co-edit for real-time shared editing of the document's narrative fields, several people at once.
  • Send to channel — if Slack/Teams is connected, post the document to a channel.
Internal tipReviewer links are the safe way to get input from people who shouldn't change the numbers — they can comment, not edit.

14Libraries, Departments & Teams

ChangeKeel scales from one person to a whole organisation, and everyone's work stays organised:

  • Solo — on your own, documents live in your Projects(left panel): search, rename, duplicate and reopen them any time. It's your private workspace.
  • Teams — group people into a team, then share a document — or a whole library — with everyone on it in one step.
  • Departments — sit above teams, so a function (Sales, Ops) has its own shared space with its teams inside it.
  • Libraries — shared collections of documents. Put a document in a library and everyone with access to that library can find and reuse it.
  • Inheritance — access flows automatically: a person gets the strongest access they're granted — directly, via their team, via their department, or via the library. Set it once.
  • Roles — viewer, commenter, editor (and manager/admin) determine what each person can do.
  • Invites & requests — invite people by email, or let them request access and approve it with a click.
Owners and admins can always manage access; everyone else gets exactly what they're granted.

15Exporting

From the Export menu, download the finished document as:

  • PowerPoint (.pptx) — an editable deck for presenting.
  • PDF (.pdf) — a clean, shareable read-only file.
  • Word (.docx) — an editable document.

Exports use your brand (see Settings), so they come out on-brand every time.

16Settings & account

  • Settings tab — document theme/brand and which capabilities are on. Set a workspace brand and new documents adopt it.
  • Account & security — change your password and set up two-factor (MFA) for extra protection.
  • Admin (owners/admins) — manage users and roles.
  • Light / dark — toggle the theme in the top bar.

17Shortcuts & tips

  • K (or CtrlK) — open the Copilot instantly.
  • Every text field has a mic and a ✦ AI button — use them anywhere.
  • Drag the left panel's edge to resize; it's remembered.
  • Pop the preview onto a second screen for a live “presenter” view while you edit.
  • Watch the readiness score and flag count — clearing flags is the fastest way to a stronger document.
